Registration Policies

Withdrawals & Refunds

Notice of withdrawal from AIM programs must be made by email or in writing. Refunds, if applicable will be determined by the date on which the notice is received. Registration fee and late fees are not refundable. Refunds will be computed as follows:

Classes & Ensembles: 14 days before class begins, 100%; before second class meeting, 50%. No refunds after second class meeting. AIM will take into consideration emergency withdrawal situations. Students must contact us for consideration.

Individual & Team Lessons: Tuition will be re-calculated at the single lesson rate for the number of weeks leading up to the date of notification, plus two additional weeks. A refund will be issued for funds paid in excess of re-calculated tuition.

Missed Lessons and Classes Policy

Students are charged for all lessons and classes they have scheduled, including those missed due to student absence. Teachers will not make up lessons or classes that the student misses. If a teacher must miss a session, AIM will first try to find a fully qualified substitute for the missed session(s) or the sessions will be made up at a mutually agreed upon time during the current semester. Credit will not be carried over through to the next semester.

Class Cancellation & Bad Weather

Arts In Motion reserves the right to cancel any class for which there is insufficient enrollment. In case of cancellation, students will be issued a full refund including the registration fee. Instructors may be changed without prior notice to students. In the case of bad weather, AIM will call to cancel lessons or classes and the session will be made up at a later time.

Accident or Illness

In the event of an accident or illness while attending activities, students and their families will hold harmless Arts In Motion and collaborating programs.

Emergencies

In cases of emergency or serious illness, you may request a leave of absence. All requests must be made in writing to the Registration Office, with doctor's certificate or equivalent documentation. If approved, partial credit will be given for those absences for up to 4 weeks of lessons effective from the date we receive written notification.

Non-Discrimination

AIM will also take steps to assure that national origin persons who lack English language skills can participate in all programs, services and activities.

Personal Property Liability

Arts In Motion does not assume liability for personal property including musical instruments used in classes and lessons.

Materials & Books

For materials or books not included in the tuition, students must reimburse AIM for supplies and materials. Instructors may withhold items, at their discretion, until payment has been received.

Photographs & Recordings

Arts In Motion uses photographs and recordings made of school sponsored functions involving students in its publications, brochures and website. If you prefer not to be included, please contact us.

Class Sizes

Please note that the tuition fees are for 4-5 students in a class. For fewer students, the time and/or fee will be adjusted for the number of participants in the class. Students may also request a team lesson with one other student or move to an individual lesson to a time that is convenient with your schedule. Fees for team and individual students are different than class tuition; please check the Tuition for Lessons chart.

Subsidized Lessons, Classes & Programs

AIM provides all students a 25% discount in their lessons, classes and programs, granting an opportunity for all individuals to participate in the Arts. These discounts are already calculated into the tuition as listed in this catalog. In addition, tuition assistance is available for individuals who qualify financially and need assistance with their tuition.

Student Performances

Beginner students are expected to play a short performance in front of an audience of family and friends. Visual art students put together a show at these performances. More advanced students perform concerts at community locations providing an invaluable opportunity for students to give a formal presentation and gain confidence in front of a diverse audience.

Payment

Sliding Scale & Financial Assistance

Assistance is available for children, youth and adults to participate in any programs provided by AIM. Income restrictions apply. If you feel you might qualify, please talk with AIM staff. To apply, fill out the financial application and return with financial documentation. Work-study scholarships are available for financially qualified individuals.

Tuition Payments

Invoices are sent out at the beginning of each semester outlining your tuition and payment due dates. It is your responsibility to hold on to this invoice, as you will not be billed for each separate payment. Payments are due on the date shown on the statement. Payments must be sent to our office address or hand delivered to the office staff.

Late Payments & Returned Checks

A non-refundable late fee of $5 will be assessed for any payment received after the due date. Students will be dropped from classes or lessons for nonpayment. There is a $15 fee for all bank issues related to cashing checks.

Books & Lesson Supplies

If supplies/books have not already been paid at registration, you will be required to pay for books as you receive them. Teachers may withhold materials if payment is not promptly received. If AIM does not have the books available, teachers can give you a list of books and where you can pick them up yourself.
